Facility Manager / In-house Technician, Embassy of Switzerland in Japan


The Embassy of Switzerland in Japan is looking for a Facility Manager / In-house Technician as of March 1st, 2020 (or by agreement).

As Facility Manager you are a member of the logistics and support team, reporting directly to the Operations Manager of the Embassy. Your main responsibilities include supervision and maintenance of the three buildings on the Embassy property, as well as the service apartment building in Shoto.

You are in charge of the administration of office furniture and assist the Operations Manager with the draft of the annual building maintenance budget. Another important duty is the set-up and technical support for major events at the Ambassador’s Residence.

You should take an active interest in Switzerland and the international environment, contribute to collaborative teamwork, manage your time and tasks effectively, show flexibility and competently substitute team members when necessary.

Main Duties
  • Supervision and maintenance of the Embassy’s buildings and technical facilities
  • Administration of facility operations, actualization and preservation of facility-related data and documentation
  • Regular maintenance of all Embassy facilities in cooperation with local maintenance firm
  • Dialog with local contractors
  • Good social skills when dealing with internal and external partners, as well as with the department in charge (BBL) in Switzerland in cooperation with the Operations Manager
  • Minor repairs, paint-jobs, cleaning of the Embassy compound.
  • Occasional driver assignments for delegations, transports, courier, etc. (Japanese driver’s license required)
  • Assistance during major Embassy events
  • Availability in emergencies, also outside of regular working hours
  • Responsible for optimization of procedures and workflows.

We expect
  • Several years of professional experience in a similar area of responsibility
  • Sound experience in the technical field
  • High level of service and quality awareness, organizational talent, negotiating skills and persuasiveness, interconnected thinking
  • Self-sufficiency, strong sense of responsibility, initiative and pronounced capacity for teamwork
  • Very good knowledge of Japanese and English; mastery of a Swiss official language is an advantage
  • Knowledge of MS Office (Outlook / Word / Excel / Power Point)
  • Valid residence permit in Japan
  • Valid Japanese driver's license
