Driver and Office Assistant (full time)
The Embassy of Switzerland in New Zealand is seeking a Driver and Office Assistant starting on 1st March 2023 (or upon agreement).
Core duties of the Embassy include promoting political, economic and cultural ties between Switzerland and New Zealand, the Cook Islands, Fiji, Samoa, Tonga and Tuvalu and supporting Swiss nationals in its consular district.
The driver and office assistant is responsible for safe and timely transport of the Head of Mission by car as well as maintaining the vehicle. Her/his tasks will include general administrative and logistic support (processing of incoming and outgoing mail and dispatches, coordination with contractors of the office and the residence) as well as executive support for the Embassy (reception duties, answering of the phone/door). This position calls for a dynamic individual with a handyman’s “can do” attitude. Technical skills would be an asset.
The successful candidate has several years’ experience as driver and office assistant at an Embassy or private company. She/he has excellent communication skills in English and multi-tasking. A proactive attitude, a high spirit of initiative as well as strong sense of responsibility are required.
Duties and Responsibilities:
- responsible for safe and timely transport of the Head of Mission by car
- maintaining of the cars
- processing of incoming and outgoing mail and dispatches
- clerical and messenger tasks and duties
- reception duties, answering of the phone and door
- assisting consular and administrative personnel in their duties
- technical support at the chancery and the residence, coordination with contractors
- maintenance of Embassy's technical equipment
Requirements:
- Professional driver’s license (category “P”)
- Permanent residency in New Zealand.
- Experience as driver for an Embassy or a private company, ideally with several years of experience
- Experience in administrative tasks
- Capable to take on multiple responsibilities, remaining attentive to details.
- Very good organizational skills and ability to work independently.
- Fluency in written /spoken and editorial skills in English.
- Computer skills including MS Office.
